Log a Quick Visit

A Quick Visit is used for when you would prefer to create an entry in Student History without logging them in to the Waiting Room first. It works great for very quick drop-in visits or emails and other situations where it takes less time to answer their question than it does to log them in to the Waiting Room and then log them out. 

This can also be used to visits with students that didn't take place under normal circumstances, such as not at your desk, when the power was out, or if the student is already in the Waiting Room for another reason.

Find the option for a Quick Visit on the left pull-out menu.

  1. Enter the student here using their I-Number, email, or name.
  2. By default, the date will be the current date, but you can change it if you didn't log a visit from the past.
  3. The default time is 10 minutes. You should adjust this to reflect how long you were working with the student.
  4. Add the Visit Type and all Visit Reasons here.
  5. Add Notes about the contact with the student. This will be logged as the Student History.
  6. Any Referrals that you recommended to the student should be recorded here. Options are usually general rather than specific people.
  7. If you referred the student and want the other department or person to be notified, check the appropriate box here. A pull-down bar will appear, allowing you to select who you referred the student to. The other party will receive a notification in their To Do list indicating a student was referred to them.
  8. Check this box to open the Email text box. You can write an email directly from here and send it to the student, the advisor, and/or the advising center, and have it logged in the Student History or not.
  9. You can attach any files, such as documents or pictures, that are relevant to the appointment here.
  10. After the required fields have been entered and any optional fields, you can submit the Quick Visit and it will save into the Student History.
